1. What Is the Inventory Price List Report?
The Inventory Price List report lists each inventory item (code and name) together with its default sales price, as configured on the inventory item. It gives you a quick, printable view of "what do we sell each item for" and allows you to optionally narrow the list by a custom-field value (for example, only a certain brand, category, or location).
The report is read-only and has one amount column (Sales Price). Crucially, it is interactive: a New Sales Quote button turns the whole price list into a pre-populated Sales Quote, so you can quickly produce a pricing document for a customer without re-entering each item and price.
2. Prerequisites — Enabling via the Customize Menu
The report appears under Reports only when the Inventory Items area is enabled for the business, and at least one inventory item has a default sales price set. Inventory Items is not shown by default in a brand-new company.
How to Enable
- Open the Customize Menu from the navigation bar (the hamburger / menu icon).
- Turn on the Inventory Items tab.
- Create inventory items and set a Default Sales Price on each item you want on the list.
- Once at least one item has a default sales price, the report is available under Reports → Inventory Items → Inventory Price List.
3. Navigating to the Report
From the main navigation bar:
- Open Reports.
- Go to the Inventory Items category.
- Click Inventory Price List.
This opens the report list — every price list you have created (and saved) appears here, sorted by name.
4. The Report List
The list shows one row per saved price list, with two columns:

A New Report button at the top creates a fresh price list.
5. Creating a Price List — Field-by-Field
Click New Report to open the price list form. It contains these fields:

- Optionally turn on Filter by Custom Field and pick a Custom Field and Filter value.
- Click Save.
- The report opens showing the matching items and their sales prices.
6. Report Output Columns
The report opens with a subtitle:

One row is shown per included inventory item (ordered by item code/name), with a single amount column:

The row name is the item's Code — Name. There is no total row because prices are per-unit, not additive.
7. How the Price List Is Built
7.1 Which Items Are Included
The report considers every inventory item in the business and includes it when:
- the item has a default sales price that is not zero, and
- if the price list is filtered by a custom field, the item has that custom field set to the entered filter value.
7.2 The Sales Price Source
The Sales Price shown is the item's default sales unit price — the standard selling price configured on the inventory item. It is independent of the item's cost (which is driven by inventory valuation, e.g. FIFO/LIFO/Moving Average). The price list is a sales-pricing view, not a cost/valuation view.
7.3 Filtering by a Custom Field
When Filter by Custom Field is enabled, the report shows only items whose chosen custom field's value exactly equals the entered filter text. Items without that custom field, or with a different value, are excluded. This is useful for a segmented price sheet (e.g. a specific brand, a price-tier, or a category).
8. Turning a Price List Into a Sales Quote
The price list has a New Sales Quote button. Clicking it opens a new Sales Quote pre-populated from the price list:
- one line per item on the price list (using the same filtering rules), with
- Item = the inventory item,
- Line Description = the item's default line description,
- Sales Unit Price = the item's default sales price, and
- Tax Code = the item's default tax code.
The quote opens with the total amount hidden, letting you add quantities and a customer, then fill in the final pricing. This turns the price list directly into a pricing document without retyping the items.

9.3 Filtered Output Example
If a second price list is created with Filter by Custom Field = Category and Filter = Electronics, it shows only the electronic items:

Clicking New Sales Quote on the "Standard Catalogue Price List" opens a Sales Quote with the following lines pre-filled:

From here, select the customer, enter quantities, and complete the quote.
10. Reporting and Accounting Impact
The Inventory Price List itself posts nothing — it is a reference/pricing report. Its impact flows through what you do with it:
- Sales Quotes / Orders / Invoices: The reported default sales price becomes the starting unit price when the item is added to sales documents (directly, or via the New Sales Quote button). Therefore it influences revenue on the Sales Invoice.
- Profit & Loss (Revenue): Selling at the listed price generates the sales revenue recognized from the invoice.
- Profit margin: Gross profit = Sales price − Cost of goods sold (the cost comes from inventory valuation — FIFO/LIFO/Moving Average — not from this report). The price list shows the selling side; the valuation reports show the cost side.
- Sales-based reports: Sales by item/customer inherit the pricing of the items on the documents, which originate from these default sales prices.
11. Accounting Regulation Validation

12. Common Notes and Best Practices
- Set default sales prices to make the report appear. The report is hidden until at least one item has a non-zero default sales price.
- Understand the price source. The Sales Price comes from the item's default sales unit price, not its cost or a costing method.
- Use the filter for segmented price sheets. Create multiple price lists filtered by a custom field (e.g. by brand or category) so you can generate targeted quotes/catalogues.
- Use "New Sales Quote" to avoid re-entry. Generate a quote from the price list, then add the customer and quantities — the items, descriptions, prices, and tax codes are pre-filled.
- The report posts nothing. It does not affect the General Ledger; only the sales documents that use the prices do.
- Keep item prices current. Because documents inherit the default sales price, review items' prices periodically so new quotes start from the latest price.
